Database Administrator (Feed Adviser & Trade Assurance)
AIC Services is seeking a skilled Database Administrator to join its dynamic team on a part-time (28 hours/week) basis.
Reporting to the Chief Operating Officer, the role will assist in the management of data within the Customer Relationship Management System (CRM), primarily for the AIC Feed Adviser Register and eventually include the Trade Assurance schemes and ensure that data is kept up to date on a daily basis.
Liaison with the Technical Managers and certification bodies as appropriate to ensure that the data is accurate and complete and to be proactive with any data queries. The role will also assist with invoicing with the relevant schemes.
Responsibilities
- Update and manage general databases including the Feed Adviser Register (FAR). This would run over into other actions on the CRM as appropriate.
- Inputting up-to-date module information, pass dates, certificate logging onto FAR records – adding I-validation passes, new applicants to the scheme.
- Annual invoicing of persons in the FAR scheme.
- Ordering FAR cards on a rotational basis and ensure people receive the correct type of card (it is expected that the cards will eventually be electronic so that they can be turned on and off).
- Sending updates to FAR contacts at individual companies of their company’s participants on request.
- Being proactive in terms of FAR admin requirements.
- Ensure all AIC Services FAR sales invoices/other invoices are paid in accordance with agreed terms.
- Liaison with FAR training bodies – advising them of new starters – dealing with queries.
- Work on the VBMS database to deactivate persons who have withdrawn from the scheme, add new modules as appropriate. When a new module is launched this also means producing lists of persons who require the new module.
- Keep CRM data up to date as required in the area of trade assurance data
- Daily processing of the nightly feed from the Scheme Certification Bodies and being proactive in ensuring that the feed data makes sense. Also, where changes of scheme contact occur, then contacting the participant to clarify if the original contact has left the company or changed role.
- Management of AIC Services Committee changes, updating trade assurance dashboard and AIC Services distribution lists.
- Be the main point of contact from the Scheme certification body for any data queries, assurance register queries which arise from their side.
- Assist with any data requirements from the Technical Managers.
- Invoicing for the TACR Register.
- Being an AIC team member and provide general input and support when required.
- To assist all enquiries in a professional and confidential manner.
Knowledge, Skills, and Experience
- Database experience MS Dynamics an advantage.
- Good working knowledge of all Microsoft 356 products.
- Proactive, open-minded and have a flexible approach to work tasks.
- Analytical and problem-solving skills.
- Able to prioritise and handle multiple tasks during a working day.
